A directory that matches the building journey

A useful directory answers the visitor’s first questions: which tenant or department, which floor and which route from this lobby? Begin with the property’s actual naming and numbering scheme. A board cannot correct conflicting lift labels or room numbers elsewhere, so check it against the wider wayfinding system before artwork is approved.

Modular and updateable tenant boards

For a multi-tenant building, ask how names will be changed after a move. Replaceable strips or panels can allow updates without replacing the whole board, but the update method, spare capacity and cost of future inserts should be specified. Leave room for plausible tenant changes without making the current list difficult to read. Confirm who holds the approved master list and who authorises each update.

Wall-mounted, freestanding and coordinated finishes

A wall-mounted board can suit a compact lobby where the mounting surface is known. A freestanding directory may help at an entrance or decision point, but its footprint, stability and circulation impact require review. Aluminium, acrylic and other finishes behave differently under lobby lighting and cleaning. Match the board to the actual reception palette without sacrificing contrast or legibility. See reception signs for the adjoining brand wall.

Static versus digital requirements

A printed or engraved board and an interactive screen are different projects. If your property needs search, live tenant changes or multiple languages on a display, define the screen hardware, content owner, power, connectivity, software, accessibility and support responsibilities first. This page is for directory-board planning; a digital system should be quoted only against a separate confirmed technical brief.

From tenant list to fitted board

1. Audit the names and floor sequence

Supply a current, approved list of tenants, departments or facilities with their floor and room numbers. Decide whether the board lists company names, suite numbers, categories or a combination. Check spelling and any brand-name permissions. For Arabic and English, approve both versions and a consistent reading order; do not rely on an unreviewed translation or guess a legal trading name.

2. Check the site and viewing conditions

Provide lobby photos from the entrance and from the point where visitors choose a route, plus approximate wall or floor space. Note the board’s intended mounting surface, viewing distance, nearby glazing, lighting, lifts and pedestrian flow. Legibility should be checked at the planned location. If a specific accessibility or property standard applies, include it in the brief; this page does not certify a universal compliant size or placement.

3. Approve a clear artwork proof

Review the tenant sequence, names, floor numbers, type size, contrast, panel count and future update allowance. Request a proof at the proposed size where possible. The quote should identify materials, finish, artwork preparation, samples, replacement-panel method, delivery, removal of an old board and installation. A picture of a concept is not a substitute for a specification.

4. Coordinate installation and future updates

Agree building access, working hours and any landlord restrictions before fitting. At handover, check the installed list against the approved master and record the panel specification for later changes. If the lobby directory is one part of a larger programme, coordinate room and door signs and lift or corridor signs to use the same names and numbering.

What affects directory-board cost?

Price depends on board dimensions, panel count, material and finish, number of languages, artwork condition, update mechanism, installation surface, access and any old-board removal. A digital or illuminated brief adds separate equipment and specialist scope. Ask for an itemised quotation rather than treating every board with the same overall size as equivalent.

Directory-board questions

Send the approved tenant or department list, floor and room numbering, languages, approximate board size, lobby photographs, full site address and target date. Tell us how often names change and whether an old board must be removed. Site measurements and mounting details should be confirmed before production.

A modular or replaceable-panel design can make future changes simpler. The exact update method depends on the construction and printed or engraved finish. Ask the quote to describe who produces replacement inserts, how they are fitted and whether spare blank panels are included.

Consider where visitors first make a route decision, available wall structure, lobby traffic, floor space and property rules. A wall board saves floor area; a freestanding unit may suit a different sightline but requires its own stability and placement review. Choose the format after a site check, not from a mock-up alone.

Yes, if both language versions are supplied and approved. Agree the naming convention, reading order, line lengths and any transliteration with the property manager or tenants before artwork approval. We should not invent official business names or translate them without confirmation.

Use a logical floor order, consistent room or tenant naming, a type size appropriate to the viewing distance and a finish that avoids problematic glare. Test a proof in the real lobby lighting and keep decorative elements secondary to the destinations. Any formal accessibility requirement must be identified for the specific property and project.

Yes. The lobby directory should agree with floor numbers, lift labels, corridor signs and room names elsewhere in the building. Share any existing signage schedule so names and arrows can be coordinated. See the separate wayfinding and room-sign services for the other parts of the journey.

Tell us if the brief requires a screen, searchable tenant list or content-management system. Those requirements need separate hardware, software, power, connectivity and maintenance scoping. Do not assume a static directory-board quote includes a digital platform.
